When Should You Start Looking for a Venue?
You can start looking for a venue for your event at any time you prefer. However, the earlier you start, the better it would be. Find out how many people you will be expecting at your event and the amenities you would require to determine the suitability of the venues you would come across.
You should start looking for a venue months before the planned date of your event. You should book a venue in advance, preferably 4 to 6 months before the event. When you book the venue, you can shift your focus to other activities related to the event such as marketing and catering. Consider the following when searching for an event venue:
i) Location of the venue
You probably already have an idea of where you would like the venue to be located. For example, if you are planning a local event, you want the venue to be easily accessible by majority of the attendees. If most of the people that will be attending your event will be coming from out of town, how about choosing a venue that is near a hotel? Consider things like transport available, traffic and parking regardless of the venue you choose.
Is there ample parking near the venue?
Another thing to consider is the parking available at or around the venue. Any venue that you go for should have a secure place where visitors can park. For venues that do not have parking spaces, check whether you can designate a secure area to be used for parking. You may also go ahead and reserve the parking space of the nearby establishments for your guests.
iii) How many people can fit in the venue
Finally, check the minimums and maximums of the venue. For example, you should know how many people can fit in the venue at a time. All the visitors you expect should be comfortable in the venue you select. There are also fire and safety standards to be followed when you want to bring together a large group of people in one area.
